Data is a big part of what we do at Paloma Systems and we are committed to maintaining the trust and confidence of the users of our web-based case management systems.
We are not in the business of selling, renting or trading email lists with other companies and businesses for marketing purposes.
We will not disclose any of the personal data inputted by our clients into our systems.

Visitors to our website

We do not collect any information using Cookies for our website and do not use any tracking tools such as Google Analytics to review website use.

Mailshot sign up

We store your email address in our CRM system, we use this to notify you of important events, issues that you need to be aware of or changes to our software. You can unsubscribe from our mailshots at any time by emailing our data protection officer Helena Ellis.

This privacy notice does not cover the links within this site linking to other websites. Those sites are not governed by this Privacy Policy, and if you have questions about how a site uses your information, you’ll need to check that site’s privacy statement.

Data we hold on behalf of our customers

  • Where do we hold this data?

    All data hosted for our clients is held within the UK. We use hosting facilities provided by KCOM; for details of their compliance please click here.

  • How do we secure this data?

    We take the security of our client’s data very seriously. KCOM have provided us with a secure ISO compliant hosting facility; we ensure that data is secured in transit from the client’s internet browser to our hosted server using 256bit SSL; we also employ a CREST certified penetration testing company to review the security of our web code. All Paloma support staff are DBS checked and are required to sign a confidentiality agreement and nominated staff that have access to client data are required to undergo enhanced vetting by the Police. Data is backed up 5 times a day and held in a two-week rolling cycle. All user access is logged within the database.

When do we share this data?

Paloma systems will not share any of the data held on behalf of our clients without express written permission from suitable persons within the client organisation.

How long do we hold this data for?

Within our case management systems, we provide tools to monitor the length of time the data is being held. Should a client cancel their contract we will delete all held data, including any backups.
